How to Navigate IMEX America: A First-Timer's Honest Guide
Sep 17, 2026
Looking back, it was a mistake.
I had time between a work trip in San Francisco and a vacation in Las Vegas. I just needed something to do. So I registered for two days at IMEX America in Las Vegas, mostly to attend one event hosted by Meeting Professionals International, also known as MPI.
As an MPI member, I love serving the organization. Meeting professionals helped build my career as a professional speaker, and giving back to that community matters to me.
What I did not expect was everything else... the new connections, the fun, and the realization of how important this conference is for anyone who works in meetings and events.
The mistake taught me something. I walked in unprepared, and I still walked out with relationships I treasure. Imagine what happens when you prepare on purpose.
That is why I created a series of videos and this article. Each section below matches a video I filmed, and each one gives you clear takeaways you can use at your next IMEX America.
One small request before we start... if anything here helps you, contact me and schedule a meeting to say hello. That is all I am looking for. A hello.
What They Won't Tell You About IMEX America
The official website tells you the basics. IMEX stands for "incentive travel, meetings, and events." IMEX America Las Vegas is the largest trade show for the meetings industry in North America, and record editions have welcomed more than 17,000 global attendees.
Here is what the website does not tell you.
The show floor is a marathon, and the hallways are where the magic happens. Some of my best conversations happened in coffee lines, on shuttle buses, and at the MPI booth. The pattern I keep noticing is this... the people who slow down and talk to strangers leave with more than the people who sprint between booths.
The scale is emotional, and this is rarely discussed. Thousands of people, bright lights, constant sound. If you live with anxiety like I do, plan quiet breaks. IMEX takes this seriously... the event earned the highest level of neurodivergent accommodation, which means quiet spaces and accessibility are designed into the experience.
Takeaways:
-
Budget energy, and treat your calendar like a training plan with recovery built in.
-
Leave open gaps for unplanned conversations. They deliver real value.
-
Use the quiet spaces. Protecting your emotional wellness protects your networking.
If you want to compare notes on any of this, reach out and schedule a quick hello meeting with me.
How I Prepared for My First IMEX America (And You Should Too)
Honest confession... I barely prepared for my first one. I registered, showed up, and figured it out on the floor. It worked out because I love people. It would have worked far better with a plan.
Here is what I now do, and what I recommend you do.
Study the exhibitor list before you arrive. Attendees take part in tens of thousands of pre-scheduled meetings across three days... a record edition logged more than 86,000 pre-scheduled meetings. The serious relationship building happens by appointment. Book yours early.
Pick your education sessions in advance. The program offers more than 150 courses on business strategy, industry trends, and event technology. You will find sessions on engagement, leadership, and even artificial intelligence, which half of planners now use in their work.
Prepare your body. Hydrate. Bring comfortable shoes. Eat real food before you hit the floor. Las Vegas is dry, loud, and long.
Prepare your follow-up system before you leave home. Decide now how you will capture names, notes, and next steps. Takeaways fade fast after a conference. Block time on your calendar for the week after the show to send personal notes.
Takeaways:
-
Register early and book appointments before the show.
-
Choose three education sessions that match your goals for the year.
-
Build your follow-up system before you pack your suitcase.
IMEX America: How To Build Real Connections (No Sales Pitch)
This section matters to me more than any other.
I went to IMEX America with zero sales goals. I wanted to support MPI and say thank you to a community that shaped my career. And the connections came anyway... more of them than I could count.
Research supports what I experienced. Networking and collaboration are the primary reasons 61% of attendees give for attending professional events. People come to connect. The pattern I notice is that pitching too early kills the very thing people came for.
Here is my approach, and you can borrow all of it.
Give without keeping score. Introduce two people who should know each other. Share a resource. Ask what someone is working on and actually listen to the answer.
Make people feel seen. Every person in every interaction deserves to feel valued... whether or not they ever become a client. When you operate this way, business follows naturally, and it feels good either way.
Follow up like a human. A short, personal message beats a templated pitch. Reference the actual conversation. Suggest a simple next step.
Takeaways:
-
Set a connection goal instead of a sales goal.
-
Ask questions and listen more than you talk.
-
Follow up within one week with a personal note.
I practice what I preach here. If you want a no-pitch conversation, contact me and schedule a meeting to say hello. That is genuinely the whole agenda.
I Tried Every Outfit for IMEX America: Do This Instead
I experimented. Suit one day. Business casual the next. Comfortable and colorful after that. Here is what I learned so you can skip the trial and error.
Business casual wins. IMEX America Las Vegas runs on business casual with personality. A full suit is rarely required, and jeans with a sharp blazer fit right in.
Shoes decide your day. You will walk miles across the show floor. Comfortable shoes are the single most important wardrobe decision you will make. This is commonly overlooked, and your feet will remind you by hour six.
Layers matter. Convention centers run cold. Las Vegas runs hot. Bring a layer you can add or remove.
Wear one memorable thing. A distinctive jacket, a bright color, a signature accessory. It gives people an easy way to remember you and restart conversations. I bring drumsticks. People remember the drumsticks.
Takeaways:
-
Business casual with comfortable, broken-in shoes.
-
Pack a layer for cold conference rooms.
-
Choose one memorable visual element that feels like you.
How to Choose Your IMEX America Schedule (Don't Get Burned)
The schedule is where first-timers get hurt. There are more than 150 education sessions, thousands of exhibitors, evening receptions, and pre-booked appointments. Trying to do everything guarantees you will absorb almost nothing.
Here is the system I use now.
Choose one priority per day. Day one might be appointments. Day two might be education. Everything else becomes a bonus instead of an obligation.
Schedule buffer time. Leave 30 minutes between commitments. The convention center is enormous, and walking time is real. Buffer time also creates space for spontaneous conversations, which are often the best ones.
Protect one evening. Receptions are fun and valuable. They are also exhausting. Keep at least one evening for rest, reflection, and organizing your notes before the memories fade.
Debrief daily. Fifteen minutes each night. Write down who you met, what you promised, and what surprised you. Your future self will thank you when follow-up season arrives.
Takeaways:
-
One priority per day, chosen before you arrive.
-
Thirty-minute buffers between commitments.
-
A daily fifteen-minute debrief to lock in what you learned.
MPI Smart Monday At IMEX: Everything You Need to Know
This is the reason I went to IMEX America in the first place, and it turned out to be one of the best professional decisions I have made in years.
MPI Smart Monday is a full day of education powered by MPI that happens the day before the trade show floor opens. It is complimentary for all IMEX America buyers and sellers... zero barrier to entry for professional development.
The growth speaks for itself. A recent Smart Monday drew more than 1,590 attendees across 46 concurrent sessions, a 30% increase over the prior year. The pattern I notice is that the people who arrive for Smart Monday enter the trade show calmer, smarter, and better connected than everyone who lands Monday night.
Here is how to get the most from it.
Arrive Sunday. Smart Monday starts early, and you want to be rested.
Pick sessions by skill gap, and not by title alone. Choose topics where you genuinely need growth... leadership, contracts, technology, wellbeing.
Talk to the person next to you. Smart Monday rooms are smaller and warmer than the show floor. It is the easiest networking environment of the entire week.
Takeaways:
-
Smart Monday is free with your IMEX America registration. Use it.
-
Arrive Sunday and attend the full day.
-
Treat every session as a networking opportunity, and stay warm and curious.
IMEX CEO Carina Bauer captured the spirit of this community well:
"There are many uncertainties, many challenges, in the world at the moment, but our industry is incredibly resilient and I think this week shows how resilient."
Resilience is my life's work, so that quote landed deeply for me. This industry keeps showing up for each other, and Smart Monday is where that shows up first.
